Deftkeys is a keyboard, and keyboards see what you type, including details about the people you work with. That’s why Deftkeys does all its work on your iPhone. This policy explains in plain English what the app can see, what it keeps on your iPhone, and the small amount of information we ever receive.

1. Who we are
Deftkeys is provided by Opus Novum (ABN Entity) (“we”, “us”, “our”), based in Australia. We handle personal information in line with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles, and we respect the rights people have under other laws, such as the EU and UK General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA). For the little personal information we receive (see section 12), we are the “controller” or “business”. You can contact us at hello@deftkeys.com.
2. The short version
- What you type stays on your iPhone. The keyboard processes your keystrokes in memory to type, suggest words and autocorrect. It doesn’t log, store or send them.
- Deftkeys has no servers and doesn’t connect to the internet. The app and keyboard contain no code that sends data to us or anyone else. The only network activity is Apple’s own App Store system when you subscribe or restore a purchase.
- No account, no ads, no analytics, no tracking. There’s nothing to sign up for, there are no third-party SDKs, and we don’t track you across other companies’ apps or websites.
- Your clients’ details stay with you. Templates, your contact card, recent names and clipboard history are saved only on your iPhone. We never receive them.
- Deftkeys never asks for your contacts, photos, location, microphone or camera.
- Full Access is optional. It’s only used so the keyboard can read what you save in the app, keep clipboard history and play haptics. Typing and the built-in replies work without it.
- App Store privacy label: Data Not Collected. [Confirm: Check that your App Privacy answers in App Store Connect say “Data Not Collected”.]
- You can delete everything at any time. See Deleting your data.
3. What the keyboard sees when you type
Like every iPhone keyboard, Deftkeys receives the keys you press and can see some of the text around your cursor in the field you’re typing in. Here’s exactly what it does with that:
- Typing, suggestions, autocorrect and glide typing use a word list built into the app. Deftkeys doesn’t learn from or keep a history of what you type. If you undo an autocorrection, it remembers that word only until the keyboard closes.
- Shortcuts look at the word just before your cursor to see if it matches one of your shortcuts, such as
;addr. - Fill-in fields. When you fill in a field like
{name}, the value is typed into the keyboard’s own bar and then inserted into your message. - Tone rewrite reads the text you’ve selected, or the paragraph around your cursor, only when you open Tone (see section 8).
All of this happens in your iPhone’s memory while you type. Your keystrokes are never logged and never sent anywhere. Two small exceptions are stored on your iPhone so features work: the last 8 names you typed into a {name} field (offered as quick picks next time), and the last 12 built-in replies you used (as reply IDs, not text).
Password and secure fields: iOS doesn’t let third-party keyboards type into password fields, and some apps block third-party keyboards. iOS switches to Apple’s keyboard automatically in those places.
4. Full Access
When you turn on Allow Full Access for a keyboard, iOS warns that the keyboard could transmit anything you type. iOS shows the same warning for every keyboard, because Full Access lets a keyboard do more. Here’s what Deftkeys uses it for, and what it doesn’t:
| With Full Access, Deftkeys… | Deftkeys never… |
|---|---|
| reads the templates, shortcuts, contact card and settings you save in the Deftkeys app, through a storage area on your iPhone shared by the app and keyboard (an “App Group”) | sends what you type, or anything else, over the internet |
| keeps clipboard history on your iPhone, if you turn it on (see section 7) | logs your keystrokes or sells data |
| plays haptic feedback, if you turn it on | works in password fields (iOS blocks it) |
Without Full Access, you can still type, glide, get suggestions, use the built-in replies and starter templates, and use Fix grammar. You can turn Full Access off at any time in Settings › General › Keyboard › Keyboards › Deftkeys.
5. Your clients’ and contacts’ information
Deftkeys is used to message clients, so the things you save and type often include other people’s details. Here’s how that’s handled:
- Deftkeys doesn’t access your Contacts. It never asks for permission to read your address book, and it has no way to import contacts.
- Names iOS shares with every keyboard. iOS gives every keyboard a list of your Text Replacements and the names in your contacts, so names aren’t wrongly autocorrected. Deftkeys uses this list in memory only, to expand your Text Replacements and leave names alone. It doesn’t store or send it.
- Your contact card (your own name, title, company, phone, email, website and address, if you enter them) is saved on your iPhone so
;sig,;cardand fields like{my_phone}can insert it. - Templates and recent names may contain client names, addresses, prices or other details if you add them. They’re saved only on your iPhone.
We never receive any of this information. If you use Deftkeys for work, you remain responsible for the personal information of your clients that you choose to save or send, under the privacy laws that apply to your business.
6. Review requests and other messages
You can save any message as a template, for example one asking a client for a review with a link to your review page. Deftkeys only inserts that text into the message you’re writing. It doesn’t send messages for you, contact review sites, track whether someone left a review, or collect any reviews or ratings. Messages you send are delivered by the app you send them from (for example Messages or Mail), under that app’s privacy policy.
7. Clipboard history
Clipboard history is optional and needs Full Access. When it’s on, Deftkeys reads the text on your iPhone’s clipboard only when you open the Clipboard panel, never in the background and never while you type, and adds it to a list on your iPhone so you can paste it again.
- It skips anything a password manager marks as concealed or temporary.
- It keeps up to 30 items of up to 4,000 characters each. They’re deleted after 24 hours by default (1 hour to 7 days, depending on your setting). Pinned items stay until you remove them.
- The list is saved in the shared storage area on your iPhone, protected by iOS file encryption. It’s never synced or sent anywhere.
- You can turn it off, or clear it, in the Deftkeys app under Settings › Clipboard.
iOS may show a notice when a keyboard reads the clipboard. [Confirm: Check on a real iPhone whether iOS shows a “pasted from” notice, and mention it here if it does.]
8. Tone rewrite and Apple Intelligence
Tone rewrite (Formal, Friendly and Concise) uses Apple’s on-device language model, which is part of Apple Intelligence on supported iPhones. The text you choose to rewrite is processed on your iPhone and isn’t sent to us. Apple’s handling of Apple Intelligence is covered by Apple’s privacy policy. [Confirm: the released app only uses Apple’s on-device model (the Foundation Models framework) and never Private Cloud Compute or another online service.]
If Apple Intelligence isn’t available, Deftkeys offers Fix grammar, which runs entirely inside the app with simple built-in rules. If you rewrite text in the Deftkeys app and tap Send to keyboard, the result is saved in the shared storage area on your iPhone and offered in the keyboard for 30 minutes.
9. What’s stored on your iPhone
To work, the app and keyboard keep the following on your iPhone. It never leaves your device through Deftkeys, and we can’t see it.
| What | Why |
|---|---|
| Your templates, shortcuts, folders and pins (up to 500 templates) | So you can insert them from the keyboard |
| Your contact card and signature style | For ;sig, ;card and {my_…} fields |
The last 8 names typed into {name} fields, and the last 12 built-in replies used | Quick picks and the Recent list |
| Clipboard history, if turned on | See section 7 |
| A rewrite you sent to the keyboard (kept for 30 minutes) | See section 8 |
| Your settings, whether you have Pro, and how many tone rewrites you’ve used today | To remember your choices and apply the free plan’s limits |
| Setup and diagnostic details: whether the keyboard has been added and used with Full Access, its speed and memory use, and whether the last tone rewrite worked (numbers and short status messages, never your text) | So the app can guide setup and show diagnostics [Confirm: whether the release build still records diagnostics, and that rewrite error messages can never contain the text being rewritten.] |
The shared storage area is only available to the keyboard when Full Access is on. Without it, the keyboard keeps its own settings separately.
10. Export, import and backups
You can export your template library as a .json file and import it again (in the app, Settings › Privacy). The file goes wherever you choose to save or share it, and it may contain client details if your templates do. Deftkeys has no cloud sync. Like other app data, Deftkeys data may be included in your iPhone backups (for example iCloud Backup or a computer backup), which Apple and you control.
11. Purchases through Apple
Deftkeys Pro is sold through Apple’s App Store, inside the Deftkeys app only (never in the keyboard). Apple handles payment. We don’t receive your name, email address, Apple Account or card details. The app checks your subscription on your iPhone using Apple’s StoreKit system. Apple gives us sales and subscription reports, such as how many people subscribed in each country, which don’t identify you. Apple’s handling of your purchase is covered by Apple’s privacy policy.
12. Information we do receive
We only receive personal information if you choose to contact us, for example by emailing hello@deftkeys.com. Then we receive your email address, your name if you include it, and whatever you write, including any screenshots you attach. Please don’t send us your clients’ details. We use what you send only to reply and help you.
If you choose to share crash reports with developers (through TestFlight, or iOS’s Share with App Developers setting), Apple sends us de-identified technical details about crashes. You control this in Settings › Privacy & Security › Analytics & Improvements.
13. This website
This website doesn’t use analytics, advertising or tracking cookies, and its fonts are hosted on this site rather than by a third party. [Confirm: no analytics, ads, tracking or form plugin is installed on this site.] Like all websites, our web host automatically records standard server logs (such as IP address, browser type, the page requested and the time) to keep the site running and secure. WordPress only sets cookies if you log in to manage the site.
14. How we use and share information
We use the information you send us only to answer your question, fix problems you report and keep records of support requests. Under the GDPR and UK GDPR, our legal bases are our legitimate interest in providing support, taking steps you ask for, and complying with the law.
We don’t sell or rent personal information, and we don’t “share” it for cross-context behavioural advertising (as those terms are used in California law). We share it only with the service providers that help us run Deftkeys, such as our email and web hosting providers, and only as needed for that purpose. We may also disclose information if the law requires it.
15. International transfers
We’re based in Australia, and our email and web hosting providers may store information in other countries. [Confirm: Name your email and web hosting providers and the countries where they store data.] When personal information from the European Economic Area or the UK is transferred, we rely on appropriate safeguards such as standard contractual clauses. In all cases we take reasonable steps to make sure the information is handled in line with this policy and the Australian Privacy Principles.
16. Security and retention
Because Deftkeys keeps your data on your iPhone, it’s protected by your device’s own security, such as your passcode, Face ID and iOS encryption. Clipboard history is deleted automatically as described in section 7. We keep support emails only as long as we need them to help you and for our records, generally no more than two years, and then delete them. [Confirm: your support email retention period.]
17. Deleting your data
We don’t hold any app data about you, so there’s no account to delete. To remove what Deftkeys has stored on your iPhone, use Settings › Privacy › Delete All Data in the Deftkeys app, or simply delete the app, which removes the keyboard and everything it stored. [Confirm: In build 1.0 (3), Delete All Data clears templates, the contact card and clipboard history. Check it also clears recent names, recent replies, settings and any rewrite sent to the keyboard, or describe exactly what it clears.] To ask us to delete your support emails, contact hello@deftkeys.com. There’s step-by-step help on the Delete your data page.
18. Your rights, wherever you live
Wherever you live, you can ask us what personal information we hold about you (in practice, only your emails to us), and ask us to correct or delete it, by contacting hello@deftkeys.com. We’ll respond within 30 days and won’t treat you differently for asking.
- Australia: you have rights of access and correction under the Australian Privacy Principles. If you’re not satisfied with how we handle a complaint, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
- European Economic Area and UK: you also have the right to restrict or object to our use of your information, to data portability, and to complain to your local data protection authority (in the UK, the Information Commissioner’s Office at ico.org.uk).
- California and other US states: in the past 12 months, the only personal information we’ve collected is what people send us by email (identifiers such as an email address, and the content of their messages), received directly from them and used only for support. We don’t sell or share personal information, and we don’t use sensitive personal information. You have the right to know, delete and correct, and you can use an authorised agent.
19. Children
Deftkeys is a business tool and isn’t directed at children. We don’t knowingly collect personal information from children under 16. If you think a child has sent us personal information, contact us and we’ll delete it. [Confirm: Match this to the App Store age rating you set in App Store Connect.]
20. Changes to this policy
If we change how Deftkeys handles information, for example if we ever add cloud sync or another feature that uses the internet, we’ll update this policy and the effective date above before the change goes live, and update our App Store privacy details to match. If a change materially affects you, we’ll also tell you in the app.
